In the previous blog, we discussed how emotional intelligence fosters self confidence and professional growth. Once we feel confident in ourselves and have a clear understanding of what we want to convey, we naturally communicate more clearly and confidently - and that’s exactly what the patients need to hear. When we are confident, even small communication choices can make a big impact. Years of research in communication studies have revealed many strategies, and here, I have compiled a few that you can use in your dental office.
Mirroring Body Language: Double the impact
Subtle mirroring of a patient’s body language - like matching their hand gestures or posture, can make them feel understood and valued. Studies show this practice builds rapport, as patients are more comfortable when they see familiarity in their caregiver’s mannerisms.
Reflective Listening – Keep it personal
Reflective listening involves repeating or summarizing a patient’s concerns to show understanding. For instance, saying, “So you’re feeling sensitivity here?” can help clarify patient needs and reduce misunderstandings.
Tailored Dialogues: Care in Conversation
Engaging patients in personalized conversations creates a warm, memorable experience. Simple gestures like recalling past conversations - “How has your daughter been since your last visit?”, show that you remember them as individuals. It strengthens the patient-provider relationship and encourages return visits.
Language with Impact – Words Matter

Selecting positive and gentle language can make a big difference in patient comfort. Instead of saying, “You need to floss more,” try, “Flossing a bit more often will help keep your gums healthy.” By keeping the tone light and encouraging, patients feel more supported and motivated to maintain good habits.
Finding the Right Frequency - Matching mine with yours
Match your patient’s tone of voice to meet them at their frequency! A soft tone often works wonders in calming the listener, at the same time, by adjusting your tone to align with the patient’s mood and comfort, dental professionals can create a more trusting and reassuring atmosphere.
Wait for it… Eye Contact: The Quintessential Quality of Effective Communication
Gentle, steady eye contact conveys attentiveness and builds trust. By looking directly at the patient when speaking or listening, dental professionals show they are fully engaged. This small gesture reassures patients and makes them feel heard and respected.
